We are located in Pittsburgh's popular South Side neighborhood, at The Highline, along the Three Rivers Heritage Trail and the Monongahela River.
Who You Are
We are seeking a highly organized and proactive Operations Manager to support the day-to-day business operations of our growing design consultancy. This role is ideal for someone who enjoys building structure, managing systems, and helping creative teams work efficiently. This position focuses on running and maintaining our systems, ensuring projects, billing, and internal processes flow smoothly throughout the company.
You will work closely with the CEO, designers, and external partners to keep the business running efficiently behind the scenes.
Key Responsibilities
Project & Workflow Management
- Set up and manage new projects in Asana
- Maintain project templates and ensure teams are following workflow processes
- Support designers with project administration and logistics
- Coordinate shipping and logistics for prototypes, materials, and deliverables
Billing & Financial Operations
- Prepare and send client invoices
- Track outstanding payments and follow up with clients when necessary
- Manage company credit card receipts and expense reporting
- Support monthly close activities including timesheet tracking
- Assist leadership with operational financial reporting
HR & Contractor Administration
- Coordinate onboarding for employees and contractors
- Manage documentation for 1099 contractors
- Support minor HR tasks and maintain personnel documentation
- Work with our benefits provider to review benefits and coordinate payments
Administrative Operations
- Send contracts and documents for client signature
- Manage NDAs and legal documentation filing
- Coordinate with our IT provider to resolve technology issues
- Order office and kitchen supplies as needed
- Maintain operational documentation and internal processes
General Operations Support
- Act as the central hub for operational questions across the company
- Identify opportunities to improve internal systems and workflows
- Support leadership with special projects and operational needs
Qualifications
- 3–6+ years of experience in operations, business administration, or office management
- Strong organizational and project management skills
- Experience with Asana or similar project management tools
- Experience with invoicing, expense management, and operational finance processes
- Ability to manage multiple priorities and maintain attention to detail
- Strong communication and follow-up skills
- Comfortable working with creative teams and external vendors
