Executive Assistant to the CEO

The Executive Assistant provides high level administrative support from small tasks to big projects for the President/CEO. The Executive Assistant skillfully handles sensitive and confidential matters in a tactful and effective manner while maintaining absolute confidentiality and discretion.

Duties include, but are not limited to:

  • Manages and maintains complex and detailed calendars, makes and adjusts appointments, and tracks expenses.

  • Composes and prepares correspondence, memos, and presentations.

  • Organizes and maintains files.

  • Provides direction and follow up of assignments.

  • Coordinates and manages logistics of both internal and external meetings.

  • Participates in staff meetings, maintains agenda items, minutes, and follow up on action items.

  • Books travel arrangements including air, hotel, restaurant, ground transportation.

  • Organizes aspects for offsites and external events including catering and transportation.

  • Some work is necessary to be conducted after hours or on weekends.

  • Anticipates needs and takes self-directed actions.

Manager of Analysis

 

The Manager of Analysis is responsible for developing and maintaining the financial and record keeping systems and processing the financial transactions associated with the Company’s revenue and expenses.

NATURE AND SCOPE

Works under the direction of the Chief Executive Officer, with regular exercise of independent judgment as the Manager of Financial Analysis.

Duties include, but are not limited to:

Finance

  • Prepares financial analysis for contract negotiations, product investment decisions, and requests from Senior Management.

  • Interacts with other employees to provide consultative support to planning initiatives through financial and management information analyses, reports, and recommendations.

  • Recommends benchmarks for measuring the financial and operating performance of the company.

  • Analyzes and provides recommendations on cash flow and profitability to Senior Management as requested.

Accounting

  • Ensures financial records systems are maintained in accordance with GAAP and resolves accounting discrepancies.

  • Prepares historical financial analyses and scorecards as needed or at the request of Senior Management.

  • Develops, implements, and maintains appropriate internal control procedures for financial accounting and treasury activities. Assists with internal and external audits and implements process improvements.

  • Approves, coordinates, and maintains changes and improvements in automated financial and management information systems for the company.

  • Completes a formal monthly closing process including bank and account reconciliations.

  • Maintains a fixed asset roll forward and register in accordance with GAAP. Ensures depreciation is recorded in accordance with GAAP.

  • Works with the external CPA to ensure all agreed upon tax strategies for the year are implemented prior to required deadlines. Provide timely tax documentation for year end and quarterly filing requirements.

  • Plans, coordinates, and executes year end activities around journal entries, invoicing, vendor payments, partner withdrawals, and fiscal data file closures.

Accounts Receivable

  • Conducts credit checks when necessary and tracks customer prepayment balances.

Accounts Payable

  • Ensures proper approval and sign off of expenditures prior to cash disbursement including coding to the GL.

  • Ensures timely issuance of annual 1099 reports.

Payroll

  • Ensures timely remittance of payroll taxes to appropriate taxing bodies.

  •  Manages the on boarding of new employees with respect to payroll and related payroll deductions including providing training on how to use all payroll and time and expense systems.

  • Manages the process of entering new states from a payroll tax perspective during the employee on boarding process.

  • Manages the 401(k) process in terms of employee and employer contributions

  • Prepares annual census information for all major payroll components – medical, 401(k), supplemental insurance, workers compensation, etc.

  • Calculates and tracks all vacation related balances.

  • Establishes and documents policies and procedures related to the payroll function.

  • Supports the company bonus calculation process and ensures timely distribution of bonuses.

  • Provides payroll information to Human Resources in support of unemployment compensation, STD and LTD claims as well responding to payroll questions from the payroll population.

Special Projects

  • Manages special projects that arise during the course of the year in the Finance and Business Services area.

REQUIRED EDUCATION

  • CPA, Advanced degree, an MBA or equivalent education and experience preferred.

  • Undergraduate degree in Accounting or Finance.

REQUIRED EXPERIENCE

  • Overall, past experience providing financial leadership, strategic planning and/ or supporting management with P/L responsibilities in a high-growth and fast-paced industry.

  • Experience in working in the consulting service industry or similar service organization with a record of successful client engagements, a plus.

  • Demonstrated persuasion and consensus building skills preferred. Supervision of teams to achieve results preferred.

  • Previous project management experience required. Advanced Microsoft Excel skills required.

UI Designer

Bally Design is seeking a UI Designer with the proven ability to create meaningful user experiences that are carefully detailed, intuitive, and visually striking. Our ideal candidate has a strong portfolio that demonstrates expert-level proficiency in visual and interaction design for complex products spanning desktop and web applications, mobile apps, and embedded interfaces. Given Bally Design’s nearly 50-year philosophy of human-centered design, we’re seeking a champion of the end user.

Qualifications:

  • 5+ years focused experience in interaction and visual design for digital products and services; experience in a consulting environment preferred

  • Knowledgeable in all aspects of user experience design, with particular strength in visual design; experience in traditional graphic design, user experience, interaction and interface design are all components of this position

  • Highly creative with strong analytical and conceptualization skills; solid understanding of composition, typography, color, usability best practices & methodologies, user-centered design processes, and human factor design principles

  • Experience managing interdisciplinary teams across multiple complex projects in a variety of industries—consumer, medical, service, and industrial

Essential functions:

  • Collaborate directly with clients to negotiate design priorities and shepherd projects from initial conceptualization through to implementation and launch

Senior Industrial Designer

We are looking for someone with experience leading projects and delivering solutions that are thoughtful, intuitive, and visually striking. You will be involved in many roles, from early research through 3D CAD development. You must be able to efficiently communicate ideas visually using hand, digital sketches, and renderings. We expect the ideal candidate to have a strong understanding of materials and processes as well as a fundamental understanding of how things work. Strong communication and project management skills are essential for managing internal project teams and collaborating with our clients. Most importantly, you must embrace Bally’s philosophy of human centered design, the importance of delighting our clients, and ultimately their end customers.

Qualifications

  • Must have a bachelor’s degree in Industrial Design

  • 10+ years of relevant design experience in the design of medical, industrial or consumer products

  • The ability to conduct, process, and present design research
